Residential community evaluating a managed collection service
Collection service for residential communities

Manage community collections with a traceable multichannel operation

Certeza combines a managed service and technology to assess receivables, prioritize obligations, and run administrative and pre-legal, out-of-court follow-up through approved channels and rules.

Here, pre-legal means persuasive, out-of-court collection with no court proceeding. Certeza is not a law firm and does not provide lawsuits, seizures, or legal representation.

Managed service

More than handing over software: operate collections within an agreed scope

Management retains decisions, source data, and legal providers; Certeza runs and documents the follow-up defined for the pilot.

01
01

Receivables assessment

Review aging, balance, available contacts, exclusions, payments in transit, and constraints before pricing.

02
02

Guided operation

Configure segments, messages, channels, tasks, and owners instead of leaving the team alone with another platform.

03
03

Multichannel contact

Coordinate WhatsApp, SMS, email, and calls based on stage, response, and preferences authorized by the community.

04
04

Rules-based prioritization

Order work by due date, balance, contactability, and approved criteria without inventing payment terms.

05
05

Promises, payments, and reports

Keep the reply, promised date, partial payment, next step, and outcome visible to managers and boards.

Defined pre-legal work and escalation

Certeza can run the preceding out-of-court follow-up. Cases requiring a lawsuit or another judicial action are documented and handed to the appointed legal provider.

How it starts

A collection service with a written base, rules, and limits

The operation is configured after the receivables are understood and each stage's permitted actions are approved.

  1. 01

    Assess receivables and exclusions

Review balances, aging, contacts, recent payments, existing arrangements, disputes, and cases that must not enter the workflow.

  2. 02

Agree on the base, scope, and rules

The proposal defines the portfolio base, channels, timing, messages, attribution, exclusions, owners, period, and commercial model.

  3. 03

    Run authorized outreach

Launch sequences and tasks with a community-aligned tone, controlled frequency, and evidence for every interaction.

  4. 04

    Record promises, payments, and exceptions

Each reply changes the next step; confirmed payments stop contact, and uncertain cases move to review.

  5. 05

Measure and hand off legal matters

Report pre-legal activity and results. Disputed matters or cases requiring a court proceeding are handed to the owner appointed by management.

Operational information

Work with the sources that already support the community's receivables

Certeza can start with files or exports. API integration depends on access and technical review; naming a tool does not imply a commercial partnership.

Transparent measurement

An operation that separates activity, contact, and recovery

Results depend on data quality, aging, and portfolio characteristics. The proposal does not promise a fixed recovery rate and defines how payments are attributed.

Managers and boards can review what happened, how each account replied, and what requires another decision.

  • Portfolio base and exclusions agreed before outreach.
  • Messages, frequency, and channels approved by the community.
  • Promises, partial payments, and exceptions remain traceable.
  • Pre-legal work is documented and legal collection remains separate.

Questions about the service, contract, and legal boundary

A managed operation with community rules and verifiable outcomes.

Collections for communities
01Is Certeza a collection company or only software?

Certeza can provide a managed service combining a platform, configuration, multichannel follow-up, and reports within the proposal's scope. Management retains decisions, source data, and approvals.

02Does Certeza provide pre-legal or legal collection?

Certeza can run pre-legal collection understood as persuasive, out-of-court work with no court proceeding. It is not a legal prerequisite to filing a claim. Certeza does not provide legal collection, lawsuits, seizures, or representation; those matters remain with the community's lawyer.

03How is pricing or a performance commission defined?

It depends on the assessment. If a recovery commission is agreed, the contract defines the portfolio base, attributable payments, period, percentage, exclusions, and treatment of payments already in progress.

04Does Certeza receive money from residents?

No. The community's bank or gateway processes and holds funds. Certeza uses available confirmation to update follow-up and separate exceptions.

05Must we replace our property management system?

No. Receivables can arrive through a file or export from the current system. An API is assessed when access is sufficient and the pilot supports the scope.

06What is needed to assess a pilot?

The approximate number of units, portfolio value and aging, current system, available channels, payment sources, existing arrangements, exclusions, and the team's main friction. The first conversation does not require resident personal data.
